Which is exactly what Mail Merge is supposed to do. A little bit of Googling later and I turned up a solution from, of course, from my old Macworld colleague Chris Breen. Among the wondrous resources you can find there is a little helper application called Pages Data Mergewhich did pretty much exactly what I was looking for. You can email him at dan sixcolors. Data merge is also referred to as mail merge. The name and type of each data field is displayed in the panel. If you have inserted the data fields in your document, the page numbers where the data field is placed is also displayed. Determine how you want the final document to look, so that you know which fields are necessary to accomplish the merge.

How to create mail merge documents with Pages and Numbers

For example, if you are creating a postcard that is mailed to customers, you can use the following data fields:. Save the data source file—usually a spreadsheet or database file—as a comma-delimited.

Make sure that your data source file is structured in such a way that you can include the appropriate fields in your target document. For more information, see About data source files. Create a target document that includes text and other items that remain the same in each version of the target document.

The data source typically originates from a spreadsheet or database application, but you can create your own data source file using InDesign or any text editor.

How to do a Mail Merge in Microsoft® Word for Mac® 2016

Data source files should be saved in a comma-delimited. In a comma- or tab-delimited text file, records are separated by paragraph breaks; fields are separated by commas or tabs.

The data source file can also include text or paths that see images on disk. If you do not include the quotation marks, each name is treated as a separate field. You cannot insert a line break within a field in the data source file.

However, if any characters, including spaces, appear on the line, the line is not deleted. By adding image fields to the data source file, you can allow a different image to appear on each merged record. Note: You can use InDesign to view the path of an image on your operating system.

You may need to edit the path after you paste it in your data source.As its name suggests it lets you incorporate data found in a Numbers spreadsheet into a Pages documents. You start by creating a Pages document that serves as the template for your merged documents. Feel free to insert real or fake names, addresses, phone numbers, email addresses, and so on for placeholder text.

A Script Tag field will appear in the Text pane to the right. Repeat for each bit of text that you wish to use as a placeholder. You then launch Numbers and create a spreadsheet that includes columns for each entry.

Now select all the rows that contain the data you want to merge.

Launch the Pages Data Merge app and walk through the numbered steps. In the area marked with a 1, choose Selection of Numbers Table from the pop-up menu and click the Import button. When you do, the information from the first column in the Numbers document will appear in the Data Record Items area. When you make a selection in the second step, its name appears under the Assigned Placeholder Tags heading in the first step.

Repeat for each entry in the list. In step 5 you can choose to email a copy of your merged document to your recipients. The letter M will appear to the right of the selected email address indicating that the addresses in this column will be used as the To address in your messages. But you can change that. Select the name of the recipient under the first step and then choose Assign For Use With File Naming from this pop-up menu. When you do, the name of the document will still appear first, but it will be followed by the data in the selected field— Unsolicited Pitch-Frank and Unsolicited Pitch-Dorisfor instance.

Click Choose Export Folder in step 4 and select a destination for your merged copies. A Pages Data Merge folder that holds your merged documents will be created in this location. And finally to the optional step 5.

If, as I mentioned, you wish to email copies of your merged documents, enable the Attach option and enter a subject heading and message.

As promised, a copy of your merged file will be sent to the addresses of those in your Numbers document. Finally, click Begin.

After you confirm that you wish to generate your merged files Pages Data Merge will set about creating and exporting the copies you requested. Have a question of your own?
